Terms and Conditions

FINAL PAYMENT

The remaining balance must be paid 48 hours prior to the event in order to begin event preparation. If payment is received after this timeframe, we cannot guarantee that all requested items, colors, or elements will be available or fully prepared. Any unavailable items may be substituted with available alternatives.

If the event day arrives and the remaining balance is still outstanding, the event will be considered cancelled and we will not attend

RESCHEDULES

Once a rescheduling request is made, the client has 30 days to provide and confirm a new event date. The new event date itself does not need to fall within those 30 days and may be scheduled for any future available date, subject to our availability.


If a new date is not provided and confirmed within the 30-day period, the rescheduling request will expire and the original booking will be considered canceled. A new booking, deposit, and payment will be required.


The first rescheduling is subject to a $150 rescheduling fee. Any subsequent rescheduling requests are subject to a $300 fee each.


For rescheduling requests made less than one week before the event, fresh flowers, food, custom items, and any other event-specific products must be paid for again for the new event date. These charges are non-transferable.


Rescheduling requests made within 48 hours of the scheduled event time are subject to our Last-Minute Rescheduling Policy below.

LAST-MINUTE RESCHEDULING

Rescheduling requests made up to 48 hours before the scheduled event time are subject to the standard $150 rescheduling fee.

Rescheduling requests made 6 and 48 hours before the scheduled event time are subject to a $300 rescheduling fee.

Rescheduling requests made less than 6 hours before the scheduled event time cannot be accommodated. At that point, the event can no longer be rescheduled, and all payments made will be considered non-transferable. A new booking and full payment will be required for a new event date.

CANCELLATIONS

All deposits are non-refundable.

If the event has been paid in full and the client cancels at least two weeks before the scheduled event date, only the remaining 50% balance will be refunded. The initial 50% deposit remains non-refundable.

Cancellations made less than two weeks before the scheduled event date are non-refundable


LATE ARRIVAL & NO-SHOW

We understand that unexpected delays may occur, and we will wait up to 30 minutes after the scheduled event time.

If the client has not arrived within 30 minutes and has not contacted us, our team will begin dismantling, cleaning, and leaving the event location.

If the client contacts us to notify us of a delay, we may wait until the scheduled end time of the event. Late arrival does not extend the original reservation time.

If the client does not attend the event, regardless of whether prior notice is provided, the event will be considered fulfilled as scheduled. No refunds or credits will be provided.

WEATHER CONDITIONS

1. Weather-related rescheduling

If unexpected adverse weather conditions arise, such as heavy rain, excessive wind, or unsafe conditions, the event may be rescheduled at no additional cost if we are notified at least 6 hours before the scheduled event time and our team has not begun traveling to the event location.

If our team has already begun traveling, the event may still be rescheduled; however, the travel fee must be paid again, plus a $300 rescheduling fee.

2. Unexpected weather upon arrival

If we arrive at the location and unexpected adverse weather conditions make it unsafe or impossible to proceed, we may work with the client to find a nearby alternative location. If the client chooses to reschedule instead, the travel fee must be paid again, plus a $300 rescheduling fee.

3. Mild weather

Mild weather conditions, such as drizzle, light rain, fog, or low temperatures, are not considered adverse weather conditions. If conditions allow us to safely proceed with the event but the client chooses not to proceed, the event will be considered fulfilled and all payments will remain non-refundable and non-transferable.

FORCE MAJEURE

Sweet Moon is not liable for delays or interruptions caused by circumstances beyond our reasonable control, including road closures, traffic accidents, natural disasters, emergencies, government restrictions, or similar unforeseen events.

If such circumstances cause a delay while our team is traveling to the event location, we will continue to the location and complete the event as soon as reasonably possible. A delay caused by circumstances beyond our control does not automatically qualify the event for cancellation, refund, or rescheduling.

PERMITS

The client is responsible for obtaining any permits required for the chosen location. Sweet Moon is not responsible for any fines, penalties, restrictions, or inability to proceed with the event due to missing or insufficient permits.

CLIENT RESPONSIBILITY

The client is responsible for ensuring that all guests respect the decoration setup and follow safety guidelines. Any damage caused by guests, vendors, children, pets, or negligence will be charged to the client.


Sweet Moon is not responsible for delays, interruptions, or issues caused by guest behavior, third-party vendors, or lack of cooperation.

DAMAGES

Normal wear and minimal dirt from regular foot traffic are expected and will not result in additional charges.

However, any damage, stains, spills, wax, food, drinks, gum, or sticky residue on Sweet Moon property, including decorations, candles, carpets, florals, stands, lighting, lanterns, or accessories, caused by the client or their guests may result in a cleaning, repair, or replacement fee.


Broken candles: $10 each

Lost or damaged roses: $5 each

Carpet stains or damage: $120


This includes stains caused by champagne, sparkling beverages, alcohol, food, or other liquids.

For any other damaged or missing items, the client will be responsible for the applicable cleaning, repair, or replacement cost.

Payment for damages receiving notice.

UNAUTHORIZED HANDLING

Clients and guests may not move, adjust, remove, or handle any Sweet Moon equipment or décor without permission. Any damage resulting from unauthorized handling will be charged to the client at the applicable repair or replacement cost.

BEHAVIOR & SAFETY

Sweet Moon reserves the right to suspend or terminate services if the safety of our team is compromised due to the actions or behavior of the client, guests, vendors, or any other person present at the event, including physical assault, verbal or physical harassment, threatening or aggressive behavior, intoxication, or any unsafe conditions at the event location.

If services are suspended or terminated for safety reasons, all payments will remain non-refundable and non-transferable

PRIVACY

All proposal setup photos and event images may be used for marketing purposes on Sweet Moon's website and social media platforms.


1. Full Privacy - $300

Clients requesting complete privacy, meaning no publication of any images from the event, including the couple, decorations, details, or event location, are subject to a $300 Non-Publication Fee.


2. Identity Privacy - $150

Clients who prefer not to have recognizable faces shown may request Identity Privacy for a $150 fee. Sweet Moon may still publish images of the event, including decorations, details, hands, backs, silhouettes, and other angles that do not reveal the clients' identities.
